Replace the spreadsheet your business runs on — Custom operations systems

The internal system your business actually runs on. Job files, scheduling, inventory, costing, approvals and reporting — built around your workflow instead of forcing you into someone else's.

Overview

One system for the work your team already does

Most operations software asks you to change how you work so it fits the product. We go the other way. We sit with the people who do the work, map the process as it really runs — exceptions included — and build the system around that.

The result replaces the spreadsheet three people depend on, the WhatsApp group that is secretly the job file, and the steps that only work because someone remembers them. Role-based access and an audit trail are part of the build from day one, not extras added later.

Ideal for: Singapore companies whose real job file lives across Excel, WhatsApp and the memory of one long-serving staff member.

What's included

  1. Job files in one place

Every job, order or case has one record with its documents, notes and history attached. Nobody has to search three inboxes to find out where something stands.

  2. Scheduling and allocation

Assign people, vehicles or equipment against real availability. Clashes show up when the job is booked, not on the morning it is due.

  3. Inventory and costing

Stock movements, purchase costs and job costs recorded as the work happens, so margins are known per job instead of estimated at month-end.

  4. Approvals with an audit trail

Quotes, discounts, purchases and exceptions go to the right person for sign-off. Who approved what, and when, is recorded automatically.

  5. Access by role

Staff see what their role needs and nothing more. Managers see across teams. Access is removed in one place when someone leaves.

  6. Reporting people open

A small number of reports built around the decisions your managers actually make, refreshed from live data rather than rebuilt by hand every week.

Why choose us

Built around your workflow, not a template

We start with a scoping session with the people who use the system daily, not only the person who signs off. Discovery is fixed-price and ends in a written specification you own, so you know the build price before you commit to it.

  • Replaces spreadsheets and manual handoffs
  • Role-based access and full audit trail
  • Reporting your management team will actually open

FAQs

Questions before you start

Can you replace our spreadsheets without stopping the business?

Yes. We run the new system alongside your current process until your team is confident, import the data you need to keep, and switch over on an agreed date. Nobody is dropped into a new system on a Monday morning.

Why not buy an off-the-shelf operations product?

Sometimes you should, and we will say so. Custom makes sense when the product would force you to change a process that is part of how you win work, or when you would pay for many modules to use a few.

Who owns the system when it is finished?

You do. The source code lives in your repository from the first commit and the system runs in your cloud account under your billing. There are no licence fees and no clause that makes leaving expensive.

How do we find out what it will cost?

Start with the cost estimator for a range, then a scoping session. Discovery is a small fixed-price piece of work that ends in a firm price for the build, so the real number comes before the real money.

Insights worth knowing

The spreadsheet is already a specification

The columns, colour codes and side notes in the spreadsheet your team relies on describe the real process better than most requirement documents. We use it as the starting point.

You do not have to replace everything at once

Most operations systems ship the one workflow that costs the most hours first. Later parts are added once the first is in daily use and the team trusts it.

Exceptions are where the hours go

The standard path is usually quick. Time is lost on the exceptions — the rush job, the partial delivery, the special price. Mapping those is most of the value of discovery.

Grants may co-fund the build

The Enterprise Development Grant can co-fund a share of qualifying custom software projects for eligible Singapore SMEs. Only Enterprise Singapore can approve an application.

Ninety minutes.A written spec.A real number.

No charge for the session, and no obligation after it. If we're not the right fit, you'll still leave knowing more about your own problem than you did this morning.
